How to Conduct Effective Stand-up Meetings

Tips For Effective Stand-up Meetings

1. Decide Your Frequency

A stand-up meeting can be daily, twice a week or weekly. You have to decide what’s best for you. This depends on the criticality of the project or your team’s part in the project, the deadlines etc.

2. Follow KISS

The golden rule of a good stand-up meeting is to Keep It Short and Simple. By nature, these meetings are meant to be quick and to the point. Ideally, these meetings should be at most 15 mins. These are meant to be high-level discussions, if you need to go into a detailed discussion, schedule a separate time for that. Yes, depending on the team size, your meeting may be longer. In this case, you can set a timer for each speaker, designate someone to be the timekeeper and ensure that everyone has equal time to speak.

3. Set a Clear and Concise Agenda

To encourage a quick meeting, set a clear purpose for the stand-up meeting. The agenda should typically cover

  • What did the team members do till today?
  • What will the team member do till the next meeting?
  • Are they or will they be facing any challenges?

4. Set a Consistent Schedule

As with most productivity tools, consistency is key. These meetings should happen at the same time every day and take priority over other meetings. A pre-set time will also help all required members plan their schedules. Having these meetings first thing in the day is ideal but it also depends upon your team composition, availability etc. Conducting a meeting in a meeting or conference room equipped with the right telecommunication facilities is always a good idea, especially if you have remote team members.

5. Encourage Participation

For this meeting to be effective, you have to ensure that every single member participates. This will ensure that every individual is aware of the larger goal, is aligned with the team and everyone is able to work smoothly and efficiently.

6. Use a Whiteboard or Other Visual Aid

Visualizing tasks and progress on a whiteboard helps the team members understand the issue quickly. Write the agenda on the board at the start of the meeting and keep referring to it to ensure the meeting does not go off-track. Create a flow chart between the deliverables → timelines → challenges. As you keep noting these down, you will identify the next steps to be taken to ensure deliverables and timelines are met. Also, write unrelated topics on a whiteboard and invite team members who are interested in them to stay after the meeting for additional discussion.

7. Note the Blockers and Problems

An important task the team leader has to perform is to keep the meeting on track. Typically, when people start discussing challenges, it’s natural to start discussing solutions which can turn into a long discussion of its own. Such discussions require their own separate meetings. Have someone make a note of the challenges and problems any team member is facing in completing their tasks. But don’t address them during the meeting – set a time during the meeting and solve it that day itself.

8. Encourage Open Communication

Create a congenial environment that encourages members to communicate freely and openly about their tasks, goals and challenges.

9. Take Notes

Designate someone to note the minutes of the meeting to be distributed post-meeting to every team member. This will also help the members who were unable to attend keep abreast of the going on. Also, ideally, this should be someone besides the meeting leader, so the leader can focus on keeping the meeting running smoothly.

10. Distribute Next Steps

This can cover any follow-up meetings, what resources are required for effective solutions and what needs to be done. Documenting and disseminating this ensures that everyone knows what is to be done, everyone is on the page and is moving on the same path towards the same goal.

11. End on a Positive Note

Since this will typically be the first meeting of the day, it can also set the tone for the rest of the day. Hence it is imperative to end this meeting on a positive note. Celebrate successes, recognize achievements, and show appreciation for everyone’s efforts.
